Description
The Signature Rules Tester is an interactive tool to help you examine the process of sending an email from a defined user (sender) to a defined recipient and see how and why a signature is applied. You can also preview the email with the signatures applied.
When a signature test is run, signature rules are checked for each signature, in the sequence that they are displayed on the All Signatures tab.
- It only applies to server-side enabled signatures.
- It is available for both Admin and Editor roles.
How to access it?
To access the Signature Rules Tester:
- From the left-hand pane, expand Troubleshooting then click Signature Rules Tester.
The Test Signature pane is displayed on the right-hand side.
Using the Signature Rules Tester
To use the Signature Rules Tester:
- Within the Test Signature pane, in From: enter the sender's email address (typically, this is for a user within your organization).
- You need to enter the full email address manually - this field does not auto-complete.
- It is mandatory to enter the From field before you click Test.
- You can only enter a single sender email address in the Signature Rules Tester. -
In To: enter the recipient's email address (this can either be an internal or external email address).
- You need to enter the full email address manually - this field does not auto-complete.
- It is mandatory to enter the To field before you click Test.
- You can only enter a single recipient's email address in the Signature Rules Tester. -
In Subject: enter a valid subject for this email.
- It is not mandatory to enter the subject for the Signature Rules Tester. -
In the message text area, enter any required message content.
- It is not mandatory to enter text in the message for the Signature Rules Tester.
- You can view the message content in HTML: click the HTML option on the toolbar.
- You can copy and paste the content, but minor style differences may be visible between the email client and the Signature Rules Tester. -
Click Test to view the trail showing why the signature was/was not applied.
The Result window is displayed and it consists of two tabs:
- Signature: By default, the Signature tab is selected. It displays the signature which will be applied at the correct location in the message body.
There can be minor styling differences between the rendered email and the email clients.
- Details: It displays the logic behind when processing the signatures - see example screen below. (Please note that any disabled signatures will not appear on the Details tab)NOTE: EDIT DESIGN, MANAGE and SHARE VIA EMAIL options are currently only visible for the Exclaimer Cloud Tour.- Click EDIT DESIGN if you wish to make further changes to this signature design.
- Click MANAGE if you wish to edit the signature rules.
- Click SHARE VIA EMAIL if you want to view this Test signature via email.
An example of the Result window, Details tab is displayed below:
Here, you can see which signature rules were checked against the specified user (rules are shown in the processing sequence, top to bottom). Most importantly, you can see why that signature is/is not applied.
The above screen highlights the following points:
- To start with, the signature has been applied (notice the
icon).
- The Any sender and Sender is rules have been met.
- The user matches the Any sender rule, as well as the all messages rule, the server-side signatures enabled rule and all recipient rule.
- At the bottom, you can see that the signature is applied, and therefore signature processing has stopped (unless you have enabled the process next signature option - in which case, signature processing continues).
Additional Information:
In general, the rules are processed in the following order:
Product Type | This rule checks what is configured: server-side or client-side. |
Recipient is | This rule checks if the recipient is 'internal' or 'external'. |
Sender is | This rule checks all the senders specified in the email. The list of senders can be a combination of rules, such as individual users, groups, advanced queries, and so on. |
Recipient Rules | This rule checks all the recipient rules defined. The list of recipients can be a combination of inclusion and exclusion rules. Inclusion rules imply 'Any recipient is'. This can be a combination of individual recipients and domain rules. Exclusion rules imply 'Except where any recipient is'. This can be a combination of individual recipients and domain rules. During the evaluation process, if any query matches the exclusion rule then the signature will fail. |
Date/Time |
This rule checks the date-time settings for the required signature. For more information, see How to apply a signature for a specified time period. |
Body |
This rule checks if there are any messages set to exclude signatures in certain scenarios. The rules set in the body are always the last to be evaluated. |
Sharing via Email
If you want to view the test signature via email, then click the SHARE VIA EMAIL option.
You will receive an email similar to this:
If you are happy with the signature and you wish everyone in your organization to use the same signature template then you can invite a member of your IT Admin team to set this up for you.
- Click Invite IT admin.
The Invite your IT Admin screen is displayed:
- Enter the email address of your IT Administrator then click Invite to proceed.
An email is sent to the specified IT Administrator to let them know that they have been granted permission to log in and manage the Exclaimer Cloud account, similar to this:
